Where the Chemistry Happens We are seeking an Administrative Associate to join our team.At the BASF Huntsville Site, we make the chemistry and technology used in vehicle catalytic convertors and other environmental products. As part of team, employees help us conceive, design, implement and validate new equipment, technologies and processes to help make our world's environment cleaner. Administrative Assistant (1705365)- Huntsville, ALThis position contributes by performing general administrative and clerical duties necessary to meet needs of the Site Leadership Team as well as the entire site. This position may also assume the responsibility of other duties as required. These could include but not limited to preparing designated reports for management, onboarding and new hire support, site audit support, organizational charts, monitoring and administering site wide and/or departmental projects, responding to inquiries and providing information in accordance with policies and procedures. Principal ResponsibilitiesProvides daily administrative support/functions, including but not limited to managing phone calls and responding independently when possible, scheduling appointment/meetings, maintaining calendars, preparing agendas, preparing expense reports, distribution of correspondence, filing, follow-up of pending activities, time management and event scheduling. Help provide new employees orientation.Interface with Local/Regional Law Enforcement to receive wage garnishments, court orders, and other documentation as necessary.Serves as the Learning Management System Training Coordinator for the Huntsville Site.Responsible for administering the I-9s and other related documents for new hires and acts as the site point of contact for New Hire Orientation.Serves as the Huntsville Site Time and Attendance point of contact to include preparing reports for Site Leadership.Assists the Site Director Administrative Assistant in arranging programs, events, or conferences by arranging for facilities and catering, issuing information or invitations, coordinating speakers, and controlling event budget.Facilitates catering for on-site and off- site meetings; including employee and customer visits.Effectively manages travel & logistical requirements for internal and external meetings and conferences as well as complete cost effective coordination of the groups national and international business travel (route planning, reservations, itineraries, visa requirements, passport renewal, etc.) including visitors. Provides administrative support to site departments and site leaders as assigned.Updates organization charts and team email distribution lists.Acts professionally in all aspects of the role; to include the protection of confidential information and data. Work environment/Physical demandsWhile performing the duties of this job, the employee is usually in an office environment, is occasionally exposed to the general plant environment including moving mechanical parts, toxic or caustic chemicals, and outside weather conditions. The noise level in the work environment is usually moderate and occasionally loud.The employee performs repetitive computer data entries requiring use of keyboard and mouse. While filing, and performing certain duties, the employee is regularly required to stand; walk; stoop, kneel, or crouch. The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 40 pounds. Specific vision abilities required by this job include close vision, and ability to adjust focus. The use of personal protection equipment is occasionally required, such as hearing protection, safety glasses, and safety shoes. With you@BASF, you create your own chemistry.Basic Qualifications Requires a bachelor's degree in Social Studies, Social work, Human Resources or related field Minimum of 5 years of related experienceMust demonstrate the ability to be self-directed, working with minimal supervision with attention to detailMust demonstrate the ability to identify and initiate work projects while working on multiple tasksMust possess advanced computer skills to include Microsoft OfficeRequires effective written and oral communication skillsDemonstrates proper control of confidential/sensitive informationMust be highly organized and able to set and meet deadlinesDemonstrates the ability to influence others in a positive mannerMust understand and exhibit ethical behavior in all aspects of the jobKnowledge of purchasing, accounts payables, invoice reconciliation, and expense reportingAbility to learn and apply various BASF administrative systems such as Check Request System, SAP, Expense Reporting, Access IT, etc Preferred QualificationsMaster's degree in Social Studies, Social work, Human Resources or related field preferred.Administrative and/or HR experience is preferred
